Leads and lead emails

When a lead is saved, who's emailed, and what the statuses mean.

When a lead is saved

When a homeowner sends their name, phone number, email and the property address (the Continue after the address). Nothing is saved from the contact details alone. An optional box lets the homeowner agree to get your marketing emails; the lead page shows whether they did, and when. It happens before the roof is looked up, so a failed or slow lookup never loses them.

If the roof can't be looked up (no aerial data, a provider problem, or your included leads are used), the homeowner is offered an inspection request instead, and while the map or the measurement is slow they can ask for an inspection without waiting. Either way the lead is in your dashboard with their details.

Lead emails

Lead email notifications use the addresses in Setup (up to five). If a homeowner stops partway, a sending attempt is due after about ten minutes with whatever they gave you. Filtered spam isn't emailed, and missing recipients or email setup can prevent sending.

The lead list and each lead's page show the latest email attempt: "Email waiting" (queued for a sending attempt), "Email accepted" (the email service took it; it can't tell us whether it reached each inbox or a spam folder), "Email failed" (retried automatically, and you can send it again from the lead page) or "Not emailed" (filtered, no lead email address in Setup, or email sending not set up: the lead page says which). A failed or skipped resend doesn't undo a previously accepted email; the lead page keeps its acceptance time and email history. Every lead is in your dashboard whatever happened to its email.

Leads that look automated are filtered: kept in the Filtered view and not emailed. If one is a real homeowner, open it and mark it as real to attempt its lead email right away; check the email status afterward.

Following up

Set the status on each lead and add your own notes; homeowners never see them. Download all your leads as a CSV from the Leads page.

Test leads

Setup's "Send me a test lead" creates a lead marked TEST and emails it, so you can check that it arrives (including your spam folder). Test leads never count toward your plan.
